Using Microlearning to Power Just-in-time Learning

Challenge

QsrSoft provides a best-in-class suite of cloud-based applications to the restaurant industry. They needed to build a digital content library of short, focused, just-in-time learning videos targeted to each software feature. In addition, the videos had to be modular to seamlessly integrate with the existing process and service training of clients such as McDonald’s Corporation.

Result

  • QsrSoft launched QsrSoft University with a suite of focused, effective digital content that could be easily accessed by their clients on a just-in-time basis.
  • Development was rapidly scaled using agile to be completed on time and within budget.

They then rapidly scaled their learning development process by integrating it seamlessly with the client’s agile development methodology and published the content on a client specific YouTube channel.

The Story

QsrSoft offers a suite of cloud-based applications that are used by restaurant management teams to support the daily administrative roles critical to the operation and profitability of the business. In order for their clients receive the full benefit of the system, their clients need to use it as designed.

Because QsrSoft deals with some of the largest restaurant chains, they needed their content to be modular in order to blend in with the client’s existing process and system training. They also needed it to be focused and short – in order to address each specific topic at the point of need. Other requirements were that it simulate the software – which was in development – and that it include voiceover as well as detailed audio scripts.

The solution was to create a Digital Content library that contained training/performance support (“micro-learning” videos) for their clients to use in a number of situations:

  • The first time they use the software
  • When they want to learn more
  • As performance support if they forget how to use the features
  • As performance support if the task(s) is not done routinely
  • When the process changes, and they need to learn a new way to perform their tasks

These learning videos served as a first phase in the long-term vision for the build out of a “QsrAcademy,” that, long-term, would include more robust forms of training and performance support.

CARA worked with QsrSoft’s Project Manager and Subject-Matter Experts to align on a microlearning development approach that would match the client’s agile software development methodology. Using a number of cloud-based tools such as JIRA and Slack, the team worked together, meeting in daily in scrums (quick project check-ins) to move each module along the development path, even as the software itself was being developed.

The CARA project lead proposed a novel approach to capturing content which was immediately adopted by the QsrSoft team. Then, they agreed on prototypes to clarify the desired outcome for the visual look and feel, naming conventions, duration, and audio script. From that point on, CARA and the QsrSoft team rapidly scaled development, resulting in over 35 modules being developed in record time and a successful start to the QsrAcademy project.

In addition to ensuring the success of the project, the CARA team agreed to processes and standards that would enable the client to maintain and develop new content on their own, thus delivering a solution that was not only successful but also sustainable in the long-term.
